Investing in operations to enable growth

A leading global provider of conversational AI technologies in the financial services industry, Clinc was expanding…fast. And growing with their people was their list of software apps, expenses, and risks.

User administration was distributed across multiple departments throughout the company. Onboarding & offboarding checklists were growing. Software account budgets were getting higher and higher. After monthly audits across all departments, Clinc concluded that an investment in people and technology would be key to helping them manage their growth.

Enter Andy Jensen, Clinc’s new VP of Operations. For Andy, continuous improvement and scaling operations are always on the agenda. Clinc centralized operations under Andy’s leadership and the team got to work defining OKRs (objectives & key results) and maturing processes.

“We want good controls over what SaaS accounts are in use so we avoid spending money in ways that we don’t intend to,” says Andy. To meet audit requirements, the company is also required to have a record of when access to systems is added or removed. “When you have to go to many places to do that, it’s a pain,” says Andy. “It’s really hard to dig all of that out of 10-12 apps without a centralized tool.”

Automating onboarding & offboarding with was chosen as the solution to centralize & automate account provisioning across the common software applications used internally at Clinc. “We’ve incorporated into our onboarding and offboarding process,” says Andy. “Instead of going to 10-12 different apps to add and remove users, gives us a central place to manage access.”

Ensuring accounts get turned off immediately provides Andy with peace of mind and helps meet audit requirements at Clinc. “Turning accounts on is easy. Making sure they get turned off on time is harder,” says Andy. “ gives us confidence that we’re saving money by ensuring we turn off accounts that aren’t needed. We have a standard in place to ensure we remove access whenever an employee is offboarded.” Clinc will “use as part of the evidence that our offboarding process is complete and effective in our upcoming SOC audit."

“The bigger we become, the more this operational problems exists,” says Andy. “We’re going to get even greater value from as we become a larger organization.”
